Con Library Technical Services: Multivolume monos

Overview

Sets, multivolume works with relatively few volumes. Individual volumes usually have their own order records, which may or may not come in on the same bib record. Some may be cataloged as a multi-volume monograph, and some may be cataloged individually. Generally the choice to catalog volumes individually is made in order to provide a level of access not possible with a set record.

First volume received

May or may not be “volume 1”; publication order often does not match volume number order.

Look up the volume in front of you by title, author, or keyword. It may turn out we already have another volume, in which case treat as ‘subsequent volume’.

Decide whether to treat as set or single title (you can revisit this later… don’t agonize). There may be copy for the single volume and/or an open multi-volume mono record. DO NOT choose a serial record.

Subsequent volumes (added volumes)

If existing record(s) is/are analytic (separate bib), continue to analyze unless highly compelling reason to combine.

If the first record is for the set, determine whether to change to analyzed volumes.

If decision to continue to use a set record:

  1. Retrieve OCLC (WorldCat) record for the set
    1. Make sure our holdings are attached.
      1. If our holdings on a serial record, stop and contact AES (Ashley).
    2. Make sure the WorldCat record has been updated to include the new volume (in hand) particularly checking fields 028, 264, [300], 505.
    3. If you have a volume known to be the last volume of the publication (regardless of volume number on the item), make sure the dates are closed in Dates and 264.
    4. Replace WorldCat record if making any changes. DO NOT add a volume solely in OBIS.
  2. Before you overlay, go back to the local record to make sure that any local notes or traced headings that need to be retained are in a local field (590, 690, locally coded 7xx [CHECK]).
  3. Overlay OCLC back onto the set record, using 949 for bib only.
  4. Create an item record for volume (generally easiest to duplicate existing item), adjust volume and other information as needed.
  5. Stats: volume(s) added
  6. If the volume arrived on its own bib, you will need to move order record to the set and delete the existing bib. SEE: _______

 

If decision to analyze fully:

  1. Delete OCLC holdings from the set record;
  2. Overlay the bib record for the single existing volume with its analytic bib
  3. Edit the call number--if you classing together but analyzing bibs, you will need to move location of volume (SEE: ____
  4. Catalog the new volume on its own
  5. If needed, move the order record for the new volume from the set to its analytic bib record and delete the bib record (IMPORTANT: THIS DOES NOT APPLY TO LARGE SETS/SERIES. SEE SEPARATE INSTRUCTIONS.)
  6. Stats: title added; volume(s) added
